4 PMS settings to check before customers arrive

June is fast approaching. Is your PMS really ready?

The summer season is often the busiest time of year: occupancy rates are at their peak, teams are under pressure, and new arrivals are coming thick and fast. It's not the right time to discover that a setting has been overlooked. The good news is that a few targeted checks in your PMS Medialog These are enough to approach the high season with peace of mind. Here are 5 points to review before June.

1. Activate pre-check-in from the booking details

Pre-check-in is recorded directly from the booking form. This is a discreet but real time-saver at reception, especially when arrivals pile up in the late afternoon.

In practice: make sure your teams are familiar with this feature and consider integrating it into your check-in process. A customer who knows their arrival has been anticipated arrives more relaxed. And a reception desk that manages pre-check-ins before peak arrivals is better able to handle the pace.

2. Update your annual pricing plan

Before summer arrives, take 30 minutes to review your rates for June, July, and August. Check stay restrictions (minimum stay, arrival days), cancellation policies, and any special rates you want to activate or deactivate. A poorly configured rate during peak season means either lost revenue or a promise that's difficult to keep.

One piece of advice: also check the consistency between your PMS pricing and the pricing you've configured on your distribution channels. A price discrepancy between your website and an OTA can lead to disputes upon delivery.

3. Check your room inventory configuration

Room inventory management in Medialog operates with a clear logic: when you define a number of rooms to allocate, the days you have closed (inventory at zero) remain closed. There is no risk of a change to other days overriding your closure configuration.

Before the season, review your e-inventories for each room type. Ensure that closing days or quotas are properly locked in, and that high-demand dates are open with the correct volumes. An incorrect inventory setup can cause you to miss out on important bookings or, conversely, lead to overbooking.

4. Prepare your housekeeper report for family stays

Summer is family season. And families mean cribs, extra beds, and specific equipment to provide in the bedrooms. Since version 3.16, the governess' report now displays the number of babies in the details of today's arrivals.

This may seem trivial, but in practice it's a real benefit for your housekeeping team: they know in advance which rooms require specific equipment, without having to consult each reservation form. Make sure this information is included in your report and that your housekeepers know how to use it.

For establishments equipped with the payment module, the pre-authorization status It now appears as a distinct icon in the scheduled arrivals report. A quick glance is all it takes to identify reservations where the payment guarantee is not yet complete, and to process them before arrival.
